1. Data controllers

For the organisation of the Retreat event, the following act as joint data controllers:

2. Personal data processed

• Identification and contact details: name, email address, telephone number.
• Billing details: name/company name, billing address (postal code, town, street, house number), tax number (for company invoices), payment transaction details.
• Special category data (provided voluntarily): food intolerances, food allergies, special dietary needs (solely to ensure suitable meals).
• Personal 1:1 consultations and session data: information the participant chooses to share, which the organisers treat in strict confidence without involving any third party.

3. Purpose and legal basis

• Registration and performance of the contract [GDPR Article 6(1)(b)]: processing the application, booking rooms, coordinating dietary requests, running the programme and the 1:1 consultations.
• Accounting and tax obligations [GDPR Article 6(1)(c) and Hungarian Act C of 2000 on Accounting]: issuing and recording receipts, advance and final invoices.
• Health data (food allergies) [GDPR Article 9(2)(a)]: based on the data subject's explicit, voluntary consent.

4. How long data is kept

• General data related to the contract: after the event, until the end of the general civil-law limitation period (5 years).
• Accounting documents and invoice data: at least 8 years, under Section 169(2) of the Accounting Act.
• Special dietary data and consultation notes: permanently deleted no later than 30 days after the event ends.

5. Data transfers and processors

Only the organisers and the processors they need to carry out their tasks have access to the data:

• Venue and accommodation provider: Evergreen Medical Kft. (8784 Kehidakustány, Golf utca 1., Hungary; email: [email protected]) – participants' names for room reservations, food sensitivities for meals, and the data required by law for the accommodation guest register (NTAK/VIZA).
• Financial partners: online invoicing platform (Billingo / Számlázz.hu), accounting firm, and account-holding banks.
• Running the website and application form: Cloudflare, Inc. (hosting, serving the website and Turnstile bot protection), Resend, Inc. (delivering the application and confirmation emails), Google Ireland Ltd. (the organisers' Gmail mailbox where applications arrive).

Information shared during personal consultations is never passed on to third parties in any form.

6. Your rights

Participants may request access to, rectification, erasure or restriction of processing of their personal data, object to processing, and exercise the right to data portability. Where processing is based on consent, consent can be withdrawn at any time.

This website does not use tracking or marketing cookies. Cloudflare's security and bot-protection services may process technical data needed to keep the website secure.
